Time Off & Leave of Absence Policy

The Time Off & Leave of Absence Policy was approved by Council on November 5, 2024 and replaces the previous section of the Employee Handbook.

Lunch Break Reminder

A one-hour lunch is automatically deducted from your time each day except for Public Safety shift staff.

Can I use my lunch break for an appointment? Yes. If you leave the building for an appointment, you must clock out and clock back in. Your department timekeeper can assist with any needed adjustments.

Paid Time Off (PTO)

PTO combines vacation and sick leave into one flexible bank.

PTO accrues based on years of service and standard scheduled hours (not overtime).

PTO is charged based on your scheduled shift (8, 12, or 24 hours).

PTO must be requested at least three (3) days in advance, unless otherwise approved by your department.

PTO balances are included in your paystub and each timekeeper has a list for each pay period that includes employees balances.

oliday Pay Reminder

If you are not on approved PTO and fail to report to work on your scheduled workday before or after a holiday, you will not be paid for the holiday.

If a holiday falls during approved PTO, it will be paid as a holiday, not charged to PTO.

Holiday pay is available to regular full-time employees only.

Parental Leave, FMLA, Military Leave

FMLA and Military leave types are regulated by state and federal law and require coordination through HR:

Parental Leave – Up to 120 hours of paid leave for qualifying events.

Family and Medical Leave (FMLA) – Job-protected unpaid leave for qualifying medical and family reasons.

Military Leave – In accordance with USERRA guidelines.
